After breakfast, transfer to Helsinki's railway station for your train journey into Lapland. As the train heads north, the landscape gradually shifts from lakes and farmland to Arctic forest and open fells, offering a changing view of Finland's scenery.
You will arrive in Rovaniemi in the late afternoon and transfer to your hotel. The town sits on the edge of the Arctic, where forested landscapes and the northern sky define the pace of life. This could be your first opportunity to spot the Northern Lights, so keep an eye on the sky this evening.

After breakfast at the hotel, enjoy a relaxed morning at leisure before departing for one of today's highlights, a husky safari in the forests of Finnish Lapland.
This "Born to Run" experience includes a guided husky cart or sleigh ride, depending on snow conditions. At the kennels, learn how the dogs are trained and conditioned to become the remarkable Arctic athletes they are, with insight into their care and preparation before setting out along the trail. For animal welfare reasons, husky carts are used when snow conditions are unfavourable. When there is sufficient snow, the programme changes to a safari by sled. This is not a self-driving experience, allowing you to take in the scenery and the energy of the dogs as they move through the landscape.
A simple soup lunch is included, followed by time to spend with the dogs. The remainder of the afternoon and evening are at leisure.

After breakfast, check out of your hotel and meet your coach for the journey north. A short drive brings you to the Santa Claus Village, located directly on the Arctic Circle. You will have time to explore this well-known landmark at your own pace, cross the Arctic Circle line, browse the shops or simply soak up the atmosphere. Lunch is at your own arrangement.
Continuing north towards Saariselka, you will pause in Sodankyla for a brief stop to view the town's historic Old Church, a simple wooden structure reflecting Lapland's rural heritage.
By late afternoon, arrive at the Northern Lights Village on the outskirts of Saariselka. Here, you will spend the night in a private Aurora Cabin, designed to offer uninterrupted views of the night sky away from light pollution. Dinner is served in the hotel restaurant.
In the evening, enjoy a reindeer safari hosted by local Sami guides. Visit a reindeer farm, learn about traditional herding culture and gather inside a wooden kota around the fire for hot berry juice and smoked reindeer meat. If conditions are right, step outside afterwards to look for the Northern Lights overhead.

Today you depart Saariselka and continue north through Finnish Lapland. After around an hour, arrive in the small township of Inari, where entrance is included to the SIIDA Museum, the national museum of the Sami people in Finland. Here, exhibitions present the spiritual and material culture of the Sami and explore the relationship between community, identity and the Arctic environment. Lunch is included during the visit.
Later, continue north, crossing the border into Norway before arriving in Kirkenes. At the Snowhotel, enjoy a short tour of the property, which is home to resident reindeer and a husky farm. Entrance and a drink are included.
You may also choose to join the included King Crab Experience, beginning with a presentation at the pier before enjoying a freshly prepared king crab tasting. Dinner is served in the farmhouse restaurant. You will overnight in a traditional Gamme Cabin, inspired by the hunting and fishing huts typical of the Lapland wilderness.

Shortly after departure, the ship calls at Vardo, home to the distinctive star-shaped Vardohus Fortress, built in 1737 and still in military use today. Continuing along Norway's northern coastline, you will arrive in Batsfjord in the evening before sailing onward to Berlevag. Along the way, you may glimpse Mount Tanahorn rising to the west or see Kjolnes Lighthouse perched atop the cliffs above the Barents Sea.

As morning breaks, continue along Norway's far northern coastline, calling at ports including Honningsvag and Hammerfest. In Hammerfest, you may wish to visit the UNESCO-listed Meridian Column, erected in 1854 to commemorate the first precise measurement of the Earth's meridian arc.
Throughout the day, the ship threads between islands and exposed headlands, revealing the scale of this remote region. Late in the evening, the ship arrives in Tromso.

This morning, the ship arrives in Harstad, where you have the option to join A Taste of Vesteralen, exploring local history, coastal landscapes and cultural heritage sites that define this northern region.
Those remaining on board will experience the passage through Risoyrenna, a shallow channel constructed in the 1920s specifically for the Hurtigruten, allowing safe navigation through these waters.
As the ship continues south, the scenery becomes increasingly dramatic. Sail through the island chains of Vesteralen and Lofoten, where steep mountains rise sharply from the sea and fishing villages cluster along sheltered harbours. After a brief call at Risoyhamn, the ship arrives in Stokmarknes, the birthplace of Hurtigruten.
Further south, it may appear as though the ship is heading directly towards a mountain wall, but soon you enter the narrow Raftsund. Weather and conditions permitting, the ship detours into Trollfjord, where sheer cliffs rise almost vertically from the water, creating one of the voyage's most memorable moments.

After breakfast, the ship crosses the Arctic Circle, marking your exit from Arctic Norway to the mainland regions further south. The moment is traditionally celebrated on board, often with a spoonful of cod liver oil, a lighthearted rite of passage for those on deck.
Sailing along the Helgeland coast, you will soon spot Torghatten, the distinctive mountain known for the natural hole through its centre. Local legend offers a colourful explanation for this unusual formation, and the Expedition Team on board will be happy to share the story.
Further south, the ship passes the Seven Sisters mountain range. According to folklore, seven troll sisters were caught by the sunrise and turned to stone, forming the peaks that rise dramatically from the coastline.
Although the ship is now south of the Arctic Circle, winter skies can still offer opportunities to see the Northern Lights, should conditions allow.

As the ship continues south, the coastline reveals how closely Norway's communities are tied to the sea. In Kristiansund, long known as Norway's dried cod capital, fishing traditions remain central to local life.

Before docking in Bergen, there is still striking scenery to experience, including Nordfjord beneath the vast Jostedal Glacier. In the early afternoon, arrive in Bergen, marking the end of your Coastal Express journey. After breakfast on board and disembarkation, meet your local guide for a city sightseeing tour. Explore the UNESCO-listed Bryggen wharf, with its colourful wooden warehouses reflecting Bergen's Hanseatic heritage. Continue to St Mary's Church and Hakon's Hall, reminders of the city's medieval importance.

After breakfast at the hotel, check out and transfer to Bergen railway station for the start of today's Norwegian fjord journey. Your luggage will be forwarded to your hotel in Oslo, allowing you to travel with just a small day bag.
Travel by train from Bergen to Voss, where you change to a coach. The journey continues through a valley landscape shaped by rivers and cascading waterfalls as you make your way to Gudvangen. In Gudvangen, board a ferry for a fjord cruise along the UNESCO-listed Naeroyfjord, one of the narrowest arms of the Sognefjord. Mountain walls rise from the water, waterfalls thread down the rock face and small farms cling to the slopes, offering a sense of scale that is distinctly Norwegian.

This morning, board the Flam Railway, one of the world's most renowned rail journeys. The ascent from the fjord to the mountain station of Myrdal reveals waterfalls, steep valley walls and sweeping views as the train climbs through dramatic terrain.
At Myrdal, change trains and continue onward to Oslo. As the journey progresses, the landscape gradually shifts from mountain scenery to farmland, forests and small towns as you approach the capital.

The departure airport transfer in Oslo is not included. From central Oslo, you can reach the airport by train or bus. The Airport Express Train (Flytoget) is the fastest option, taking around 20 minutes. Tickets can be purchased via the Flytoget app or at station machines. Alternatively, regional trains and Flybussen buses also serve the airport, taking approximately 40–50 minutes. Tickets for these options can be bought via the Vy or Flybussen apps, or at ticket machines. Taxis are readily available, and your hotel can assist with arranging one.

Airport Transfers
Some of our packages will include airport transfers in either one or both directions when arriving or departing from your destination. To know if transfers are included please view the ‘inclusions’ section of your selected package. If airport transfers are stated, transfers will be included as advised.
If transfers are not included, we also offer the option to book your airport transfers using our online portal. Access to this portal is available through your Traveller Hub once your booking is confirmed. Transfers are readily available and do not need to be booked until your final hotel list has been confirmed. Once you have made a transfer booking, please refer to your confirmation email for all transfer details including a local contact number for the transfer company.
If you book pre and/or post-tour accommodation on your arrangement, and the tour includes transfers, note that these will be forfeited. The transfers are only provided in line with the tour dates and pre and/or post-tour accommodation purchased through Inspiring Vacations when available.

Starting Point
Your starting hotel may differ from the original itinerary. Please refer to your final documentation, which will be provided approximately 14–30 days before departure, for your confirmed hotel list.
If you need to book pre-tour accommodation independently, we suggest you do this only once you have received your final hotel list for your tour. If you would like to book something sooner, we recommend that you book using a flexible rate that can be cancelled through your chosen third-party provider without penalty.
Travellers will arrive at various times throughout the day depending on flights booked. If arriving before standard check-in time, which is generally 3pm, you are welcome to leave your luggage at hotel reception and explore your surroundings until check-in becomes available as there are no scheduled activities on Day 1 of the itinerary. The hotel may grant early check-in; however, this is strictly subject to availability and at the hotel’s discretion.
Note: If you need to apply for a tourist visa before departure, we recommend using the details of the suggested hotel on the tour itinerary if you wish to fulfil this before the release of your final tour documentation. Please refer to our visa section for more information on whether or not a visa is required for your destination.
Arrival Details
Airport transfers are not included as part of your package. However, we trust that your journey from the airport to the hotel will be comfortable and hassle-free.
As an added service, we do offer airport transfers at an additional cost which can be booked via your Traveller Hub. These must be booked at least 70 days prior to departure.
To make your own way to your hotel from the airport, it is recommended to use taxis booked from an official taxi booking desk at the airport, or alternatively you can use ride share apps such as Uber.

Optional Airport Transfers - Transfer Portal
Depending on the package purchased, you may have the option to add airport transfers to your booking and you can do so through your Traveller Hub account. We partner with an online marketplace where travellers can compare and select the transfer of their choice.
Inspiring Vacations acts as an agent on behalf of our transfer service partner and any service is delivered by the provider. Inspiring Vacations cannot be held liable for any loss resulting from the transfer service provided. It is the customer's responsibility to ensure any transfer booked meets the requirements of any other travel arrangements. Likewise, your tour leader or any of our on-ground representatives cannot be held responsible for the service of your transfer nor are they in a position to assist with amending your reservation. When you make your transfer service booking, you will receive a confirmation email and this will include your meeting instructions, as well as direct contact details. Welcome Meeting Instructions
You are welcome to arrive at any time on Day 1 of your tour and the day is at your leisure.
You will have a Welcome Meeting and dinner at your hotel at 6pm on Day 1, where you will meet your tour leader and the rest of your group, share important information, and hear all about your adventure to come.
In Case of Emergency
Although we strive to deliver exceptional holiday experiences, unforeseen circumstances can occasionally arise during travel. If any issues arise during your tour, it is essential to promptly communicate them to your tour leader or local representative so they can take immediate action to address the problem and minimise any negative impact on the remainder of your journey.
If your tour leader or local representative is unable to resolve a situation to your satisfaction, please request that the matter be escalated to their direct manager for further assistance.
When your final tour documentation is released, this will include an emergency contact for our local travel partner while you are on tour. If this is not included in your documentation, you will receive this information on arrival during your welcome meeting.
Finishing Point
Your tour concludes in Tallinn, Estonia on Day 20, where you will transfer by ferry to Helsinki for your onward journey home. Your finishing point may differ from the original itinerary. Please refer to your final documentation which will be provided approximately 14–30 days before departure for your confirmed details.

We need your passport information to get everything ready for your trip so the information on your booking must match your passport exactly. Please take care to provide the correct details. Our Balanced tours involve a moderate level of physical activity and are designed to suit the majority of travellers. Be prepared for walking on varied surfaces, which may include cobblestones, gravel paths, and noticeable inclines common in historic towns and natural areas. You must be confident on your feet and capable of navigating multiple flights of stairs and uneven ground without assistance to fully participate.

Cruise: Hurtigruten ships have multiple decks accessed by stairs and lifts. Port calls involve short walks to and from the ship, sometimes on uneven ground.
Fjord journey: The Bergen–Flåm–Oslo day involves boarding and disembarking from trains and a ferry, with luggage forwarded separately.
Mobility and accessibility
Best suited to: Travellers comfortable with moderate, stop-start walking, cobblestones, some steps and icy/snowy conditions at Arctic sites.
Opt-out options: Many walking tours in the Baltic capitals can be skipped. On the Hurtigruten, passengers can remain on board during port calls. Arctic excursions (husky safari, reindeer safari) are generally included but passengers can discuss alternatives with the tour leader.
Wheelchairs: Vehicles and most hotels can accommodate wheelchairs, but several sightseeing locations are not wheelchair accessible (for example, cobblestone streets in Tallinn Old Town, snow/ice at Arctic sites, some Hurtigruten port landings). Hotels, Transport and Climate
Hotels: All main tour hotels have lifts. Many offer accessible rooms, subject to room category and availability. All have adequate power outlets for CPAP machines.
Transport: Coaches, trains, ships, ferries and Lux Express buses are used. Walking to and from vehicles is generally short, with regular comfort stops on longer drives. Passengers need to manage their own luggage when boarding and disembarking transport.
As a general requirement across all of our tours, you may be required to walk up and down stairs, get on and off transportation, handle your own luggage, and participate in all scheduled sightseeing that may be conducted on uneven ground and terrain. Any physical ailments you may have must be disclosed at the time of booking to determine your suitability and where required, supporting documentation may be requested to ensure that we are comfortable that you will enjoy your tour.

Escorted Style
This tour features a combination of escorted and independent travel.
From Days 1–14, your tour is fully escorted by a dedicated tour leader who will accompany you throughout the Scandinavian portion of your journey. You will be met by a local guide in Bergen for your city sightseeing tour, and a local guide will accompany the Oslo city tour on Day 14. Any internal flights included will be unescorted.
From Days 15–21, you will travel from city to city on your own, exploring at your own pace. We have arranged transportation and walking tours for you to see each destination. Enjoy the time and flexibility to linger longer or pick up the pace and see as much as possible. The choice is yours.

You have purchased a combination package, meaning that certain components of the tour are operated differently.
From Day 1 to 14, you are travelling on one of our Small Group Tours. These tours take you to iconic landmarks and hidden treasures, ensuring a rich blend of must-see sights. Unwind in premium accommodation after each day filled with sightseeing alongside your dedicated tour leader, leaving you free to explore at your own pace during designated free time. Benefit from smaller group sizes, creating a truly unforgettable travel experience.
From Day 15 to 21, enjoy the Independent portion of your tour. You will travel between cities on your own, exploring at your own pace. We have arranged transportation in most cases and day tours for you to discover each destination. Enjoy the flexibility to linger longer or pick up the pace to see as much as possible.

Getting Around
This tour combines guided travel through Scandinavia with independent exploration in the Baltics, offering a diverse and rewarding travel experience.
Scandinavia (Finland & Norway)
Winter travel in Norway and Finland promises breathtaking scenery, but also comes with seasonal challenges. Expect cold temperatures, snowfall and icy conditions that may impact transport. While public transportation typically runs on schedule, weather-related delays can occur, especially for road and air travel. Some days feature longer drives as we journey between iconic destinations. While these travel days can feel lengthy, our comfortable coach, scenic views and planned breaks will help make the experience enjoyable and manageable.
For the train ride from Helsinki to Rovaniemi, your travel time will be approximately 8 hours. The 1st and 2nd class is basic but has air-conditioning.
For the Bergen to Flåm fjord journey (Day 12), your luggage will be forwarded separately to your hotel in Oslo. Please pack a small day bag with essentials for the day and the following day’s journey.
Baltic Capitals (Vilnius, Riga & Tallinn)
Your journey continues with an independent tour through the Baltic capitals, giving you the freedom to explore Vilnius, Riga and Tallinn at your own pace. Travel between cities is by premium intercity bus, offering a comfortable and authentic way to experience the region.
Lux Express Coach Travel
Included in your package are Lux Express bus tickets connecting Vilnius, Riga and Tallinn. These modern coaches feature spacious seating, free Wi-Fi and onboard entertainment systems, ensuring a smooth and pleasant journey through the scenic Baltic countryside.
Luggage and Stations
You will need to manage your own luggage when boarding and disembarking buses. We recommend packing light and using a suitcase or backpack you can comfortably carry. While large bags can be stored in undercarriage compartments, space for carry-on items is limited. Baltic bus stations are generally easy to navigate, but may require some walking or stairs—arriving at least 30 minutes before departure is advised.

While exploring Norway, Finland and the Baltics, some days will involve longer travel as we connect remote Arctic landscapes with historic city centres. From scenic coach journeys through snow-covered Finland to independent travel between the Baltic capitals, each leg offers a chance to take in the region’s diverse beauty. Though travel days may feel lengthy at times, comfortable transport, stunning views and well-planned breaks will ensure a smooth and enjoyable journey.

Accommodation Details
This tour features comfortable, well-located 4-star hotels throughout Finland, Norway and the Baltic capitals that offer easy access to transport, dining and key attractions. In keeping with Nordic and Baltic design, rooms are typically compact, with a focus on simplicity, functionality and a good night’s sleep after a day of exploration.
A highlight of the tour is a night spent in an Aurora Cabin (or glass igloo) at the Northern Lights Village in Saariselkä, designed to offer uninterrupted views of the night sky. You will also spend a night in a traditional Gamme Cabin at the Snowhotel in Kirkenes, inspired by the hunting and fishing huts typical of the Lapland wilderness.
While rooms may not always include extras like tea kettles or extensive amenities, they are clean, cosy and equipped with essentials such as comfortable beds and toiletries. If you have specific needs, it is a good idea to plan ahead or speak directly with hotel staff, who are usually happy to assist.

Clothing Considerations
To ensure your comfort we suggest packing base and mid layers, along with a substantial winter jacket, a wool or fleece hat, balaclava/buff, gloves, a woolly jumper, scarf and winter boots. Keep in mind the layering principle: it is more effective to wear several thin layers than a few thick ones.
In exceptionally cold conditions, consider wearing two pairs of gloves—a thick pair of mitts (as mitts keep your hands warmer by not separating the fingers) and a thin pair of gloves underneath for finger dexterity. For those susceptible to cold extremities, consider acquiring carbon hand and foot warmers, typically found in reputable outdoor stores.
Luggage Requirements
We want to ensure your journey with us is as enjoyable as possible. We understand that travelling during the winter season in Norway may pose challenges. Given you are responsible for handling your own luggage throughout the trip, please be aware that moving luggage in snow or icy conditions can be challenging. For this reason, and to ensure that we are not exceeding the overall luggage allowances on our ground transportation, we recommend packing light (we recommend not exceeding 20kg per person) and being prepared for such conditions.
Climate
This tour spans a wide range of climates, from the snowy Arctic landscapes of Finland to the milder, temperate weather of the Baltic capitals.
Norway & Finland (Winter Months): In Finnish Lapland, expect cold and snowy conditions—temperatures can drop well below freezing, particularly between November and March. Daylight hours are limited, especially in the far north, but the crisp air and snow-covered scenery create a magical winter atmosphere. Warm, layered clothing, thermal wear and waterproof outerwear are essential.
Baltic Capitals (Vilnius, Riga, Tallinn): The Baltic region has a temperate climate, with winters that are cold but less extreme than northern Finland. Temperatures typically range from −5°C to 5°C during the winter months, and snow is common. Pack warm layers, a good coat, gloves and footwear suitable for walking on icy streets.
No matter the location, be prepared for a wintry experience and check the forecast regularly to stay comfortable and safe while exploring.

ATMs are widely accessible across all destinations, particularly in cities, transport hubs and near hotels. International debit and credit cards (especially Visa and Mastercard) are accepted at most ATMs and businesses.
Card payments, including contactless, are the norm throughout Scandinavia and the Baltics—even for small purchases. However, it is still a good idea to carry a small amount of local cash, especially in Norway or when visiting markets, small shops or rural areas.

Travelling through Norway, Finland and the Baltics offers a unique and varied culinary journey. In Norway and Finland, expect hearty dishes designed for cold climates—think reindeer stew, salmon, root vegetables, rye breads and rich dairy products, often enjoyed with strong coffee or berry-based desserts. In Lithuania, Latvia and Estonia, traditional Baltic cuisine features dumplings, smoked meats, beetroot soup, potato pancakes and dark rye bread, all reflecting the region’s rustic and seasonal ingredients.
While travelling with Inspiring Vacations you will enjoy iconic sightseeing, as well as experience the vast array of culinary offerings across Scandinavia and the Baltics. While many meals will be eaten together with your group, not all meals are included in your tour which gives you maximum flexibility in deciding where, what and with whom to eat. For those with a particular food allergy, your Inspiring Vacations Tour Leader will endeavour to advise the main ingredients in the dishes consumed. Travellers should exercise caution with street food to avoid stomach issues; choose vendors with good hygiene practices and eat freshly prepared dishes.
Local Customs
Understanding a few local customs can enhance your travel experience across Norway, Finland and the Baltics. The Nordic countries are known for their friendly but reserved culture, where personal space and quiet respect are valued. Queues are orderly, and greetings tend to be casual but polite. Tipping is not expected, but rounding up the bill or leaving a small amount for excellent service is appreciated.
In both Norway and Finland, there is a strong cultural emphasis on comfort and connection—known as hygge or kalsarikännit—which translates to cosy moments often spent indoors, enjoying warm drinks or simply relaxing after a day in the cold.
The Baltic countries—Lithuania, Latvia and Estonia—blend Northern European reserve with Eastern European warmth. Locals are typically polite and hospitable, and a modest, respectful attitude is always appreciated. English is widely spoken in tourist areas, and a friendly “hello” or “thank you” in the local language is always a nice gesture.
Respecting these small customs will go a long way in helping you feel welcome and immersed in the local culture.
Dress Code
When visiting Norway, Finland and the Baltics during the winter months, dressing in warm, practical layers is essential. Prioritise thermal base layers, a quality mid-layer (fleece or wool) and a waterproof, windproof outer shell. In the Arctic regions, insulated boots with good grip are a must for snow and ice.
In the Baltic capitals, smart-casual attire is generally acceptable for restaurants and cultural venues, but comfortable walking shoes suited to cobblestones are recommended for sightseeing. There are no strict dress code requirements at the hotels or restaurants on this tour, though smart-casual is always a safe choice for evening dining.
Responsible Dining
We support the protection of endangered species around the world. Although a global ban on commercial whaling came into effect in 1986, approximately 1,000 whales are still being killed every year. We do not visit places that serve whale meat on any of our tours, nor will your leader guide you to where it is offered.
Norway and Finland prioritise sustainability, so be a responsible traveller by following designated trails, minimising waste and opting for local, seasonal food options whenever possible. Avoid consuming endangered species or items harvested unsustainably. Be respectful of local customs and food practices, and always tip fairly to support local workers. Responsible dining helps protect the environment and promotes the wellbeing of local communities.
Tipping
A friendly reminder that tipping is not included in your package. While tipping is not customary in Scandinavia and the Baltics, it is of great significance to the people who will take care of you during your travels, inspires excellent service, and is an entrenched feature of the tourism industry across many destinations.
You may also consider tipping your tour leader and driver for outstanding service throughout your trip. Remember, a tip is not compulsory and should only be given when you receive excellent service.

Peak Travel Times
The peak travel times for this tour’s destinations are influenced by seasonal weather and major events.
Finland and northern Norway are most popular during the Northern Lights season (September to March) and again during the Midnight Sun season (June to August). The winter months are the busiest for Lapland, particularly around Christmas and New Year. Summer brings long daylight hours and milder temperatures, drawing hikers and nature enthusiasts.
The Baltic capitals of Vilnius, Riga and Tallinn are busiest during the summer months (June to August), when temperatures are warmest and daylight hours are longest. The Christmas market season (late November to December) also attracts significant visitor numbers. Shoulder seasons (April–May, September–October) offer fewer crowds and comfortable temperatures for walking tours.
Safety and Security
Norway, Finland and the Baltic countries—Lithuania, Latvia and Estonia—are generally very safe for travellers, with low crime rates and well-maintained public spaces. That said, it is always wise to take standard precautions, especially in busy tourist areas where petty theft or pickpocketing can occasionally occur.
Avoid displaying valuables openly, stay aware of your surroundings and be especially mindful in crowded places such as transport hubs, markets and city centres. Use reputable transport services and avoid walking alone late at night in unfamiliar or poorly lit areas.
In the Baltics, as in any destination, be cautious of unsolicited offers or overly persistent vendors, and keep personal belongings secure. Respecting local customs and remaining polite and aware will go a long way in ensuring a smooth and enjoyable experience throughout your journey.

This flexibility ensures you get the most out of your trip! Your tour leader will always keep you informed of any changes and explain the reasoning behind them. Remember, when travelling with a group, sometimes going with the flow can lead to even more amazing experiences.
Travel Insurance
Travel insurance is strongly recommended on all our trips. We require that at a minimum you are covered for medical expenses including emergency repatriation. It is also important to consider forced pre-trip cancellations and how your chosen insurance policy may cover such circumstances, so please keep this in mind when choosing your provider.
We strongly recommend all travellers have a policy that also covers personal liability, cancellation, curtailment and loss of luggage or personal effects. For international trips, you will be asked by your tour leader for your travel insurance details if they were not already added to your Traveller Hub account pre-departure.
If you have credit card insurance your Inspiring Vacations tour leader or local guide may require details of the participating insurer/underwriter, the level of coverage, policy number, and emergency contact number rather than the bank's name and your credit card details. Please contact your bank for these details before arriving in-country.
Before you depart, you will be asked to submit your Travel Insurance details through the booking holder's Traveller Hub account through the Inspiring Vacations website. This is to ensure that we have this information readily available should we ever need it.
Health, Wellness & Fitness Requirements
All travellers need to be in good physical health to participate fully on this trip. For the safety and wellbeing of yourself and others, if you are unwell before travelling, please stay at home and contact us to make alternative arrangements.
When selecting your trip please make sure you have read through the itinerary carefully to assess your ability to manage and enjoy our style of travel. If we find that you are unable to complete the itinerary without undue risk to yourself and/or the rest of the group, we reserve the right to exclude them from all or part of a trip without refund.
You should consult your doctor for up-to-date medical travel information or any necessary vaccinations before departure. We recommend that you carry a first aid kit as well as any personal medical requirements in their original packaging as they may not easily be obtained while travelling. If you are carrying medication, ensure you check your government's foreign travel advice for any local restrictions or requirements. For the safety and wellbeing of yourself and others, if you are unwell before travelling, please stay at home and contact us to make alternative arrangements and we would be more than happy to assist you.
Important Information for Customers with Mobility Limitations
We want to ensure everyone has a fantastic and inclusive experience on our tours. If you require the use of a mobility aid, such as a cane, walker, or wheelchair, please disclose this information at the time of booking.
To ensure a smooth and enjoyable experience for the entire group, our tours are designed with a specific itinerary in mind. This may involve moderate walking, uneven terrain, or stairs. While some itinerary adjustments may not be possible, we'll do our best to find alternative solutions within the planned activities whenever possible.
Open communication helps us ensure your trip is a perfect fit and it allows your local guide or tour leader to assist you where possible.
Information for CPAP Users
If you use a CPAP machine, please let us know at the time of booking. Some portions of our itinerary, like overnight cruises or camping trips, may have limited access to power outlets. In such cases, we recommend travelling with portable battery packs.
Certain activities, like overnight journeys on board smaller vessels, may not be suitable for CPAP use due to space limitations or noise concerns. We can discuss these potential limitations upfront and help you make informed decisions about your trip.

Tour documentation is typically emailed to the lead passenger or your travel agent between 14-30 days before your scheduled departure. This will include your final hotel list.

Travelling in a Group
Travelling in a group means you will experience both the pleasures and perhaps at times, some of the frustrations of travelling with people you don’t know. The good news is you all have at least one thing in common: a love of travel and exploration. Your fellow travellers will probably come from different parts of the world, and fall into different age groups. We ask you to be understanding of the various needs and preferences of your group—patience with your fellow travellers is sometimes required for the overall benefit of the group. If you are requested to be at a place at a certain time, please ensure that you respect this request from your tour leader or local guide. Due to privacy reasons, we are unable to provide you with contact details and any personal information about your fellow travellers booked on your trip before departure.
Community Guidelines
Inspiring Vacations does not tolerate any kind of violence, harassment (whether physical, verbal or sexual), or disrespect toward fellow travellers, our teams (Inspiring Vacations Tour Leaders and local expert guides) or local communities.
Any behaviour that prevents your Inspiring Vacations Tour Leader from continuing the itinerary as planned, breaks local laws or opposes any of these guidelines, may result in Inspiring Vacations removing you from the tour.
If something concerns you during your travels, please speak to your Inspiring Vacations Tour Leader immediately. Alternatively, when you are on-tour and require immediate support you can contact our Customer Support team and select the “On-Tour” option when listening to the options.
Inspiring Vacations Tour Leader vs Guide
While both tour leaders and local guides enrich your travel experience, their roles differ. Tour leaders, who often accompany you for the entire trip, handle logistics, ensure smooth sailing of the itinerary, and act as your point of contact for any concerns. They might provide general information about destinations, but in-depth historical or cultural knowledge often comes from local guides. Local guides, frequently native to the area, lead tours at specific sites or attractions, offering a deeper understanding of the local history, art, or way of life.
Coach Transportation
The size of your coach will comfortably accommodate your group. There's usually room for some extra seats, ensuring a relaxing journey. Your luggage will be safely stored either underneath the coach or in a dedicated trailer.
While the exact coach style may vary depending on the departure, all our coaches offer comfortable seating. Keep in mind that Wi-Fi and charging outlets might not always be available. To stay connected and avoid dead batteries, we recommend fully charging your devices beforehand or bringing a portable charger.
For longer journeys, we'll make sure to include ample restroom breaks along the way, so you can freshen up and recharge at your convenience, as facilities are not on-board the coach.
Staying Connected
If you want to stay connected and access reliable internet while on tour, there are a few options available. It is possible to purchase a virtual sim and we recommend contacting your mobile phone provider for assistance in doing so. You can add a roaming data plan to your existing phone contract is another option, albeit an expensive one. You will need to arrange this before departure. Purchasing a local SIM may be possible as a final option.
We also recommend downloading WhatsApp and using this to communicate with other group members while on tour, and of course, after the tour if you’d like to stay in touch. Our tour leaders may also use this as a means of communicating essential trip information with you, as well as if you choose to add-on transfers to your booking, as your driver may use this to confirm arrangements with you.
Post-Tour Feedback
Once your booking is confirmed, you will receive a link to a post-purchase survey, which is your opportunity to share your feedback with us on your booking experience and interactions with our Sales and Customer Success teams. This feedback is invaluable to ensure that we are servicing our customers to the best of our ability.
Furthermore, towards the end of your travels and while you are in your destination, you will receive an email from us with a link to an in-depth trip survey. It is very important to us that we hear from our customers to ensure that we continue to meet and exceed customers' expectations, so this will be your opportunity to let us know how your trip has been, what has worked well and potentially what could be improved.

This package does not include international airfares. If you would like to add airfares to your booking our flight portal will be available via your Traveller Hub. The flight portal will allow you to search for all available airfares to your destination. The function works like most general flight search engines allowing you to select your preferred airline, book different cabin classes (eg. Business class) and view flight durations and transit times to your destination.
